A named person who will be available on the day, not a department and not a reception desk.

Confirm before the shipper leaves that the receiving laboratory has somewhere to put the samples. A shipment arriving at a site with no free canister position is a shipment on a clock with nowhere to go, and that situation is created at the packing end rather than the receiving end.

Send the tracking reference and expected arrival directly to that named contact rather than relying on the courier’s automated notification, which frequently goes to whoever booked the collection rather than to the laboratory expecting the samples.

Ask them to weigh the unit on arrival if they can. It is the one measurement that shows whether the shipment still had margin or arrived close to the edge, and it is the only feedback that improves the next one.
