The documentation that must accompany a dry shipper transporting human embryos or gametes in the UK is determined by HFEA requirements for the movement of licensed material, the transport method being used, and the nature of the samples being transferred. Getting the documentation right before the vessel leaves the clinic is not administrative overhead – it is a regulatory requirement and a clinical safeguard.
Domestic UK transfers
For domestic UK transfers between licensed fertility clinics, the minimum documentation package should include: confirmation of the identity and quantity of samples being transferred, the patient consent documentation authorising the transfer, the receiving clinic’s licence details confirming they are authorised to receive the samples, the chain-of-custody handover record, and the vessel identification confirming which specific CryoStork unit is being used and its charging date.
International transfers
For international transfers out of the UK, HFEA requirements for export of licensed material apply. This includes confirmation that the destination country’s regulatory framework is acceptable, that appropriate consents for export are in place, and that the receiving facility meets the required standards. The documentation package is more extensive and should be prepared in advance with input from both the HFEA and the receiving facility.
Documentation failures in biological sample transfers are discovered at the worst possible moment – when the receiving clinic opens the vessel and finds the accompanying paperwork does not match the samples inside, or when an HFEA inspection reviews a transfer record and finds chain-of-custody gaps. Preparation before the vessel leaves is the only time the documentation can be corrected.
Temperature records
CryoStork dry shippers are compatible with temperature data loggers that provide a continuous temperature record to accompany the documentation package.
